Bookings and payments:

1. Your booking is not confirmed until payment has been received. You will receive a booking confirmation and confirmation of payment.

2. If your child is booked onto a weekly programme and you pay a monthly subscription, then your space is confirmed once you have completed the booking process and added your card details for future payments.

3. Our booking system is powered by Book That In and all payments are taken by Stripe.

4. ​All monthly subscription payments will be taken on the 1st of each calendar month. Failed payments will automatically be followed up and the card on the account charged again up to five more times if required. Football 2 Music Ltd will contact you directly to discuss if the payment cannot be taken before the 5th of the month.

5. Continuous failed payments may result in your child being removed from the programme until the payment has been received. Continuous payment issues may result in your child being permanently removed from the programme entirely.

6. We will not issue refunds for missed sessions due to your own circumstances. Alternative sessions can be offered and attended as replacement where possible, if arranged and agreed in advance by Football 2 Music Ltd.

7. If there is a month that you think you will be unable to attend most or all of your sessions, then you can pause your monthly subscription. We will allow you to do this up to a maximum of three months per year, subject to receiving a minimum of seven days notice in advance of your next due payment.

Cancellations:

1. Payments already made for dates that are cancelled by Football 2 Music will be returned to the payment card used, either by auto refund or by bank transfer (subject to when the payment has been made).

2. If you wish to cancel your subscription, then you must do this by cancelling your booking through your Book That In profile. You will automatically activate the one month notice period from the date of cancellation.

3. If a one month notice period extends into the following calendar month (e.g. 10th September - 10th October) then your payment for that month will be pro-rated accordingly.

4. You are entitled to attend any sessions you are registered for that fall within your one month notice period.

5. Parents/guardians booking camps and school sessions can cancel their sessions with a minimum of seven days notice. The refund will be minus any class fees that may fall within the seven day period.

6. Schools and nurseries that want to cancel their agreements must give a minimum notice period of the remainder of the term (if operating on a termly agreement) or the next full term (if operating on an annual agreement)

Health & Safety and safeguarding:

1. Football 2 Music or any of their team are not responsible for any loss or damage during the sessions.

2. Football 2 Music reserves the right to remove from the programme, without refund, anyone who is found to be bullying, misbehaving or displaying continuous disruptive behaviour.

3. The parent/guardian must declare all medical conditions during registration process and keep Football 2 Music Ltd up-to-date should this change by emailing/calling us at bookings@football2music.co.uk. The relevant Book That In profile should also be updated.

4. This agreement only covers the child registered during the booking process. For safeguarding and health & safety reasons it cannot be transferred to an alternative child, unless agreed by Football 2 Music management with advanced notice.

5. Notification to Football 2 Music is required in advance if anyone beyond the registered parent/guardian or the emergency contact is due to collect a child from the session. This is so we can maintain a high level of safeguarding standards, as per our safeguarding policy.

6. The parent/guardian must declare if they do not want their child to be recorded and photographed for marketing use and keep us up-to-date should this change.

7. All photo and video content will be securely stored and will only be used for the purpose of marketing for Football 2 Music exclusively.

8. All recording and photography will be taken by the Football 2 Music Ltd, or an approved professional external provider.

9. You must refrain from bringing your child to sessions if they are deemed unwell within 48 hours of the session.

10. Parents must remain onsite throughout the entire scheduled session, unless agreed otherwise by the Football 2 Music management.

11. Parents must refrain from bringing their children more than 10 minutes before their scheduled start time to avoid any overcrowding.

12. Children may be turned away from sessions if they are wearing clothes and footwear that is deemed unfit and unsafe for them and/or others in a Football 2 Music session. This is also in accordance with any venue footwear policy that may be in place.

13. There is a strict NO NUT policy at all venues for health and safety reasons.

Standards and etiquette:

1. Parents and children must refrain from making excessive noise when outside of the venue, to avoid disturbing the local residents and receiving complaints.

2. No food and drink can be consumed within the halls, with the exception of water.

3. All buggies, bikes, scooters and anything of this nature, must be left in an assigned space outside of the halls. This is in line with the venues floor maintenance policies.

4. Children have been placed within the groups that match their age at the time of booking. As a standard process children will progress through the age groups as they reach the required age. However, children can progress earlier or stay for longer in their current group, based on their individual development and growth needs. Ideally this will be agreed by the child, parent/guardian and Football 2 Music Ltd. However, Football 2 Music Ltd will have the ultimate and final say on any decisions of this nature.

5. Whilst we will aim for complete consistency regarding the coaches taking the sessions, we cannot guarantee this and the coach may need to change without prior notice on occasion. This will be managed as best as possible to maintain the same level of coaching and quality of service.
